# Managing Time Zone & Regional Settings

Evia Sign allows account administrators and users to configure time zone settings so that dates and times are displayed correctly according to their region.

Evia Sign stores event timestamps in **UTC (Coordinated Universal Time)** and converts them to the applicable configured time zone when displaying them.

## How Time Zone Settings Work

Evia Sign follows the process below:

Event occurs → Timestamp is stored in UTC → Applicable time zone is identified → Date and time are displayed in the configured time zone

For example, if an event occurs at:

**03:30 UTC**

and the applicable time zone is:

**Asia/Colombo (UTC+05:30)**

Evia Sign displays the time as:

**09:00 AM**

The original timestamp stored by the system remains unchanged.

## Account Default Time Zone

The **Account Default Time Zone** defines the default time zone used for the Evia Sign account.

An administrator can configure this setting according to the primary region in which the organization operates.

For example:

**Account Default Time Zone: Asia/Colombo (UTC+05:30)**

The Account Default Time Zone is used when a user or recipient-specific time zone is not available or when the relevant setting is configured to use the account default.

## Configure the Account Default Time Zone

To configure the default time zone:

1. Log in to Evia Sign using an administrator account.
2. Go to **Settings**.
3. Navigate to the **Regional Settings / Time Zone** section.
4. Select the required **Account Default Time Zone**.
5. Click **Save Changes**.

> The configured Account Default Time Zone acts as the fallback time zone for the account.

## User Time Zone

Users can configure their own time zone when user-level time zone configuration is available.

For example:

* Asia/Colombo
* Europe/London
* America/New\_York

When a user-specific time zone is configured, supported dates and times can be displayed according to that user's selected time zone.

The original UTC timestamp stored by Evia Sign is not changed.

## Configure the User Time Zone

To configure your time zone:

1. Log in to your Evia Sign account.
2. Go to **Settings / My Profile**.
3. Locate the **Time Zone** setting.
4. Select your preferred time zone.
5. Click **Save Changes**.

## Date Signed Time Zone

Evia Sign supports different time zone options for the **Date Signed** value added to signed documents.

Depending on the account configuration, the Date Signed value can use either:

## Recipient Time Zone

When **Recipient Time Zone** is selected, the Date Signed value is generated according to the applicable time zone of the recipient.

For example:

**Stored signing time:** 03:30 UTC\
**Recipient Time Zone:** Asia/Colombo (UTC+05:30)\
**Displayed Date Signed:** 09:00 AM

## Account Default Time Zone

When **Account Default Time Zone** is selected, the Date Signed value is generated using the time zone configured as the account default.

This option provides a consistent Date Signed time zone across documents created under the account.

## Time Zone Priority

Where applicable, Evia Sign determines the time zone using the following order:

**Recipient/User Time Zone → Account Default Time Zone → UTC**

If the feature is configured to use the recipient or user's time zone, that time zone is used.

If an applicable user or recipient time zone is unavailable, Evia Sign uses the **Account Default Time Zone**.

UTC remains the underlying system reference for stored timestamps.

The time zone setting controls how supported dates and times are displayed.

The actual event time continues to be stored in UTC.

This ensures that:

* Event timestamps remain consistent.
* Users in different regions can view appropriate local times.
* Audit and signing records maintain a common time reference.
* Integrations can process timestamps consistently.

### Example

Consider an Evia Sign account configured with:

**Account Default Time Zone:** Asia/Colombo (UTC+05:30)

A signing event occurs at:

**03:30 UTC**

When displayed using the Account Default Time Zone, the signing time is:

**09:00 AM**

If another user is configured with a different time zone, the same event may be displayed at a different local time.

Both displayed values represent the same original signing event.

### Summary

Evia Sign stores timestamps in **UTC** and converts them to the appropriate configured time zone when displaying dates and times.

The **Account Default Time Zone** provides the standard time zone for the organization, while user and recipient time zones can be used where applicable.

This provides consistent system timestamps while allowing users and recipients in different regions to see meaningful local date and time information.
